HomeServicesSoftwareInternal tools

Software shaped around your team.

We build internal tools for the jobs your team does every day, from quoting and bookings to stock and approvals. They replace the spreadsheets, inbox threads and copying between systems.

  • Less copy and paste
  • Fewer missed steps
  • Clear ownership

Off-the-shelf software rarely fits how your team really works, so the gaps get filled with spreadsheets and memory. We map each task and build a tool that follows your process, with the right checks in the right places.

Built for daily use.

Internal tools only work if people want to use them, so we design for speed, clarity and as few clicks as possible.

Quotes and estimates

Build quotes from your rate cards and product lists, apply margins and discounts, and send branded PDFs customers can accept online.

Jobs and scheduling

Assign jobs to people or teams, see who is free on a shared calendar, and track each job from booking to invoice.

Stock and orders

Track stock across locations, raise purchase orders when levels run low, and see what is reserved, in transit or ready to ship.

Approvals and sign-off

Route spend, discounts or leave requests to the right person, with reminders and a clear record of who approved what and when.

Mobile job sheets

Field teams fill in checklists, take photos and collect signatures on a phone, with each entry saved straight to the right job.

Permissions and audit trail

Each role sees only what it needs, and every change is logged with a name and time, so mistakes are easy to trace.

Done properly.

The details that decide whether internal tools pays off.

Start with how work moves today.

We sit with the people doing the work and map each step, handover and spreadsheet column. That shows which steps to automate, which to simplify and which to leave alone.

Linked to the tools you keep.

Your internal tool can create invoices in Xero, update contacts in HubSpot and post messages to Slack or Microsoft Teams. We agree which system holds the master copy of each record, so records stay consistent everywhere.

How it works.

Clear steps, and you approve each one before we move on.

  1. 01

    Shadow

We watch how the work happens today and where it gets stuck.

  2. 02

    Map

We agree the data, roles and steps the tool needs to handle.

  3. 03

    Build

We build in short cycles, with your team testing each working version.

  4. 04

    Roll out

We move data across, train the team and retire the old spreadsheet.

Example project

A trades business quoting from a shared spreadsheet

A heating and plumbing firm prices jobs in one large spreadsheet, books engineers by phone and chases sign-off on WhatsApp. Quotes go out late, and details get lost between office and site.

What we would do

  • Map quoting, booking and job sign-off steps
  • Turn the price list into a quote builder
  • Add a shared calendar for engineers
  • Give engineers a mobile job sheet

An illustration of how we would approach it, not a client result.

What you would get

  • A quoting and job management tool
  • Branded quotes customers accept online
  • Mobile job sheets with photos
  • Invoices sent to Xero automatically

Questions, answered.

Why not buy off-the-shelf software instead?

If an existing product fits your process well, we will tell you and help you set it up. Custom tools make sense when you are bending your work around software or still relying on spreadsheets alongside it.

Can you move our existing data across?

Yes. We clean and import data from spreadsheets, CSV exports or older systems, then check it with your team before the old tool is switched off.

Will it work on phones and tablets?

Yes. We build internal tools as web apps that run in any modern browser, with layouts designed for phones where field teams need them. If you need offline use or a native app, we can plan for that too.

How much does an internal tool cost?

Each tool is quoted after a short call, with a fixed price agreed before we start. A focused tool usually takes a few weeks, and we agree a launch date up front too.

Retire the spreadsheet for good.

Tell us what you need. Charlie will come back with a plan and a price, usually within one working day.
