Emails can drift into spam folders for months before anyone notices, usually because of authentication gaps or a tired list. We fix the technical setup, clean and segment your list, and monitor inbox placement every month.

What inbox placement takes.

Mailbox providers look at who you are, who you send to and how they react, so we work on all three.

Domain authentication

SPF, DKIM and DMARC set up and aligned on your own domain, with DMARC reports read and the policy tightened in stages.

Bulk sender rules

We check you meet Gmail, Yahoo and Outlook.com requirements, including one-click unsubscribe, prompt opt-out handling and low spam complaints.

Dedicated sending domain

A branded sending subdomain in Klaviyo, warmed up gradually by sending to your most engaged subscribers first.

List hygiene

We suppress bounces and risky addresses, and verify older lists with tools such as ZeroBounce before you email them again.

Sunset policy

Long-term non-engagers get a re-engagement flow, then are suppressed if they stay silent, which protects your reputation with mailbox providers.

Ongoing monitoring

Google Postmaster Tools, Microsoft SNDS, blocklist checks and inbox placement tests show warning signs, so problems are caught early.

Done properly.

The details that decide whether deliverability pays off.

Meeting the bulk sender rules.

Gmail and Yahoo require bulk senders to authenticate with SPF, DKIM and DMARC, offer one-click unsubscribe and keep spam complaints low, and Outlook.com has followed with similar rules. We check each requirement and fix any gaps before they affect where your email lands.

A monthly check on your reputation.

We check Google Postmaster Tools, bounce and complaint rates and placement tests each month. If something slips, our AI assistant flags it, and a person finds the cause and agrees a fix with you.

Example

Authentication passing on all sends. Spam complaints rose slightly after the clearance campaign to unengaged subscribers. Recommend tightening the campaign segment to recent clickers and running the sunset flow this week.

How it works.

Clear steps, and you approve each one before we move on.

  1. 01

    Diagnose

We check DNS records, sending reputation, list quality and recent engagement.

  2. 02

    Fix

We correct authentication, set up a branded sending domain and clean the list.

  3. 03

    Warm

New domains ramp up slowly, starting with your most engaged subscribers.

  4. 04

    Monitor

Monthly checks catch reputation changes early, with fixes agreed with you.

Example project

A gift shop whose emails started landing in spam

An online gift shop notices clicks falling and customers saying they never got the sale email. The shop still sends from a shared domain, has no DMARC record and mails its full list every time.

What we would do

  • Publish SPF, DKIM and DMARC on the shop's domain
  • Set up and warm a branded sending subdomain
  • Send only to recently engaged subscribers for now
  • Check Google Postmaster Tools and placement tests weekly

An illustration of how we would approach it, not a client result.

What you would get

  • Authenticated, aligned sending domain
  • Warm-up plan for new sending domain
  • Cleaned list and sunset flow
  • Monthly deliverability report

Questions, answered.

What are SPF, DKIM and DMARC?

They are DNS records that prove your emails really come from you. SPF lists approved senders, DKIM adds a digital signature and DMARC tells mailbox providers what to do with mail that fails.

Can you guarantee we will land in the inbox?

No one can, because each mailbox provider makes its own decisions. What we can do is get every technical signal right, keep your list healthy and spot problems early.

Do we need a dedicated IP address?

Most small and medium senders do not. A dedicated IP only helps at high, steady volumes, and a branded sending domain on a shared IP is usually the better choice.

How long does it take to fix deliverability?

Authentication changes are usually quick. Rebuilding a damaged reputation typically takes several weeks of careful sending, and we agree a plan and dates before we start.
